A conversational AI agent is an autonomous system that answers, understands, decides and acts on behalf of your business. Unlike a basic chatbot, an AI agent does not follow scripts — it reasons, adapts and executes complex tasks. Here is how it works step by step.
Step 1: Receiving the message
The agent receives input from the customer on any channel: chat message, phone call, WhatsApp, email or Instagram DM. All channels converge on the same AI engine.
Step 2: Understanding (NLU)
The natural language understanding (NLU) engine analyzes the message and extracts: customer intent (what they want), entities (specific data such as dates, names, products) and sentiment (positive, negative, urgent).
Step 3: Context
The agent queries the customer’s history: previous conversations, purchases, appointments, open tickets. With this context, it personalizes its response and actions.
Step 4: Reasoning
Unlike a chatbot, the agent does not look for a predefined answer. It reasons about the best action: should it respond directly? Query a database? Schedule an appointment? Escalate to a human? The decision is made in milliseconds.
Step 5: Action
The agent executes the chosen action: queries the CRM, books an appointment in the calendar, updates a ticket, sends a catalog via WhatsApp or transfers to a human agent with full context.
Step 6: Response
It generates a natural language response adapted to the channel (text for chat, human voice for phone) and the tone of the conversation. The response is contextual, relevant and action-oriented.
Step 7: Learning
Every interaction improves the system. Human agent corrections, customer feedback and conversation patterns are used to continuously optimize the agent’s performance.

|---|---|---|
| Responses | Predefined | Generated |
| Actions | Limited | Multiple systems |
| Channels | 1-2 | All |
| Context | Current conversation | Full history |
| Learning | Manual | Continuous |
